Bookkeeping, payroll, HR, and tax prep handled end to end — plus the dashboards and fractional CFO guidance that turn a month-end close into a decision you can actually make.
what we do
Most owners are stitching together a bookkeeper, a payroll app, an HR template pack, and a tax preparer who sees the books once a year. Everything below sits under one roof, so nothing falls between the seams.
Accurate, current books closed on a schedule you can plan around.
Employees and contractors paid correctly, with filings handled.
Returns prepared by someone who has seen the books all year.
The people paperwork, done properly, before it becomes a problem.
Your numbers in a format you'll actually open on a Monday.
Senior financial judgment, at a fraction of a full-time hire.
why owners choose this
Not a portal you still have to feed. Transactions get categorized, statements get chased, payroll gets run, and filings get made without you in the loop. The only recurring thing on your calendar is one review call.
A bookkeeper, a payroll app, an HR template pack, and a tax preparer means four logins and four parties who can each say the problem started somewhere else. Here it is one engagement and one person to call.
Your return is prepared by the person who reconciled the accounts every month. That is the difference between being told what you owe in April and being told what to do about it in October.
You stop weighing whether a question is worth the invoice. The questions owners don’t ask are usually the expensive ones.
packages
Every engagement is a flat monthly fee. The starting prices below assume the volumes listed on each card — your exact number is confirmed after we look at your books together. No hourly surprises, and no charge for asking a question.
Owner-operators and small teams who need the books right.
Growing teams with payroll, staff, and a tax bill worth planning for.
Companies past clean books that need a controller, not yet a CFO.
Established companies making decisions that need a CFO in the room.
Past these volumes the price steps up, not the level of service. Transaction count, number of accounts, employees, states, and entities are what drive the work — so those are what drive the quote, rather than your revenue.
the comparison
Every package above costs less than putting one bookkeeper on your own payroll — and none of them are one person’s skill set. The figures are Houston-metro averages from the Bureau of Labor Statistics, not our estimates.
What it costs to put one full-time bookkeeper on your payroll in the Houston metro — before software, PTO coverage, or the cost of replacing them.
if you employ a bookkeeper
if you outsource instead
To be clear about what changes and what doesn’t: outsourcing removes the salary, payroll taxes, and benefits of a bookkeeper you would otherwise employ. It does not change what you owe on your own team — their payroll taxes and benefits stay yours. What changes is that we calculate, file, and remit them for you.
One bookkeeper is also one skill set. Every package above covers bookkeeping, payroll, HR, tax, and advisory work, with no hiring, no training, and nobody to cover when someone takes a week off.
Salary: U.S. Bureau of Labor Statistics, Occupational Employment and Wage Statistics, Houston–The Woodlands–Sugar Land, TX. Benefit load derived from BLS Employer Costs for Employee Compensation, where wages are 70% of total compensation for private industry workers.
add-ons
Nothing here is a surprise line item. Anything your engagement needs is quoted in writing before the work starts.
billing
A signed payment authorization form is required before any work begins. It stays on file for the life of the engagement.
Your monthly fee is charged automatically on the 1st or the 15th — you pick which one at onboarding.
One-time work is quoted in writing first, then billed to the same authorization on file.
Any change to your monthly fee is agreed in writing before it takes effect. Nothing moves without your sign-off.
how it works
A free 30-minute call. What you're running, what's working, and where the books or the payroll are costing you sleep.
We look at your current file together, flag what needs cleanup, and send a written scope with one flat monthly price.
Secure access, catch-up work if you’re behind, chart of accounts rebuilt, payroll and HR moved over. Usually two to four weeks — longer if the books need heavy cleanup, you run multiple entities or states, or documents take a while to gather.
Each month’s books are closed during the following month, once the statements are in. Reports issued by month end, dashboard updated, a standing review call, and someone to text before you make the expensive decision.
about
Olivia J Bookkeeping is a remote firm based in Houston, Texas, working with owners across the country. The work spans the full back office — bookkeeping, payroll, HR, tax preparation, reporting, and fractional CFO support — so your financial picture is assembled by one team that sees all of it.
That matters more than it sounds. When the person filing your return is the same person who closed your books, reconciled your payroll, and watched your margins move month over month, the advice is specific to your business instead of generic to your industry.
Most owners don’t hire a bookkeeper because they love accounting. They hire one because the books have quietly become the thing that happens after everyone else has gone home — and because the cost of getting them wrong keeps climbing as the business grows. The point of this engagement is that the work leaves your desk and stays gone.
Every engagement starts with a conversation, not a contract. If it isn’t a fit, you’ll hear that on the first call.
questions
Because the source documents are. A bank or credit card statement for September doesn’t close until September 30th, and most institutions don’t release the final statement until the first few days of October. Nothing can be reconciled before then — anything produced mid-month is an estimate, not a closed set of books. So September’s numbers are reconciled during October and in your hands by the end of it. That one-month lag is normal for every bookkeeping and accounting firm; what varies is whether the close actually lands on schedule. Here it does.
Yes. The firm is fully remote and works with clients across all 50 states. Everything runs through secure document sharing and video calls, and multi-state payroll registrations and filings are part of the payroll service.
It's common, and it's fixable. Catch-up and cleanup work is quoted separately from your monthly fee so you can see exactly what it costs to get current. Most cleanups are finished during onboarding, before the first normal close.
Tax preparation is offered in-house for business and personal returns, along with quarterly estimates and year-round planning. If you already have a tax preparer you like, a clean year-end packet goes to them instead — that works too.
A flat monthly fee, quoted after reviewing your actual books. What moves the number is the work involved: how many transactions run through the accounts, how many accounts there are, how many employees and states are in play, and whether there is more than one entity. Each package lists the volumes its starting price assumes. Anything outside that — a tax return, a handbook, catching up on back books — is a separate line quoted in writing before it starts, so your monthly fee stays the same in a busy month as in a quiet one. You are never billed for a phone call.
A signed payment authorization form is required before work begins, and it stays on file for the length of the engagement. Your flat monthly fee is charged automatically on either the 1st or the 15th — you choose which at onboarding, so it lands where it suits your cash flow. One-time work such as cleanup, a tax return, or a handbook is quoted in writing first and then billed to the same authorization. Your fee never changes without your written agreement.
Bookkeeping records what happened. Fractional CFO work uses that record to decide what happens next — whether you can afford the hire, what the pricing change does to margin, how long cash lasts at the current burn. Most clients start with bookkeeping and add CFO support when the decisions get bigger.
Typically two to four weeks. It runs longer when the books need significant cleanup, when there are multiple entities or states involved, or when it takes time to get bank access, prior returns, and payroll records together — the pace of that last part is largely up to you. You’ll get a written timeline before anything starts, and it gets updated if the scope turns out to be bigger than it looked.
